Presence/absence/travel

All ITF researchers are expected to be present at the institute during office hours. In case of absence the secretariat should always be informed (by phone (5928) or e-mail (science.secr.itp@uu.nl)), especially in the case of sick leave. Travelling to conferences work visits etc. requires permission from the program leader in advance (at least four weeks prior to your trip). Even when the costs are reimbursed by the host institute permission is required. You can find the appropriate forms on:

Preprintnumbers


Research work carried out during your appointment at Utrecht University should be submitted with an ITP and/or Spinoza Institute preprint number(s). Please contact the secretariat in order to obtain a preprint number. Preprint lists are available at the links below:

Annual Report


At the end of the calendar year the secretariat will request a short summary of your research project(s), a list of your publications, lectures, invited talks etc. for the annual reports of the ITP, Department of Physics and Astronomy and funding organisations. Please keep record of this data.
 

Guests


Your guests/visitors should always be reported well in advance to the manager. Please note that guests staying for more than 8 days need a guest invitation letter of the department. Guests from outside the EU will also need a work permit. A request for obtaining such a work permit should be submitted at least 7 weeks before the arrival of the guest.
